Create Dashboard Users

As Two-Factor Authentication (2FA) requires a unique security code it is not be suitable when shared logins are used to access the Dashboard, for example where a number of users log in to the Dashboard with the Agent Key sent in your registration email.

Where multiple users log in to the Dashboard we would suggest assigning each their own unique individual username and password. This will not only allow them to generate their own security code when 2FA is enabled but also any of their substantive Dashboard actions can be tracked via Reports >, User Audit Report.

  1. Log into the Dashboard as an account with Users permissions enabled (including the Superuser).
  2. Go to Settings > Users
  3. Click Add User then populate the below information
  4. OKto proceed
  5. Enter the password of the account you logged into the Dashboard under to confirm and create the login

Username

User's email address.

Important: 2FA requires the user to verify their username (email address). Please ensure that all usernames in the system are active and valid email addressesThis not only ensures 2FA can be setup for their account, but that they can manage their login (reset their passwordetc.) without  any administrative intervention.

Role

The level of access for the account selected from the drop-down with the following options available

Staff Roles

Superuser

Superuser (Classic)

Administrator

Administrator  (Classic)

Standard

Standard  (Classic)

Custom Roles (based on a Staff role)

Client Roles

Client

Client (Classic)

Custom Roles (based on a Client role)

Choose Manage roles... to Add Role, Clone Role, edit a role's details (name and permission) or delete an unused role.

Save to apply changes.

Client Groups

  1. From the drop-down select the required Client Group (list of Clients the User has access to)
  2. Choose Manage Groups to Add Client Group, change Group details (name and Client members) or delete a Group. Save to apply changes
  3. After setup we would suggest logging in with the Client level login to ensure only that specific customer's devices are visible.

Client User - when setting up Client access to the Dashboard through the User Accounts dialog please ensure that the user only has access to their own portion of the Dashboard through the use of Client Groups. For example create a Client Group with that one client then apply this to the user.

Please note, as the Client Group drop-down is accessible to Superuser level logins, Agent Key (where Dashboard access is enabled) or a custom role with the required Users permissions configured, they can change the Client Group associated with their own account.

User Created Password

As an additional security precaution, when a new user is create on the Dashboard an email is sent to the entered username (email address) containing a set password link.

The password must be in the following format:

  • At least 8 characters in length
  • Contain no white-space characters
  • Have at least one uppercase, one lowercase and one numeric character
  • May contain special characters

For visibility the current password status of a user is displayed in the P/W (Password) column, a green tick indicates that a Password is set whilst an empty tick indicates the Password is unset.
