Using and Managing Document Templates in Documentation Manager

Templates are a great way to create standardized easy to use documentation, your technicians will be able to create uniform documentation across all your clients quickly and efficiently. Every default template can be completely customized or you can create your own custom templates to use.

Creating New Templates

To create a new template simply select new template.

When Creating a new template you can customize the rows, columns, sections and even the number of options you would like listed on each row.

Each element can be modified to convey the required information for the type of document template you are creating.

Element options

Text Field

Text Field - an entry that is limited to 1 line.

Editor options

  • Label Text- Controls what is displayed above the input box.
  • Label Alignment - Controls where the text is displayed inside the element
  • Input Type - Controls what type of information can be entered into the field for example.

  • Placeholder Text - Controls what text will be displayed inside the Text box.
  • Requited? - The required check mark box will control if this field must be filled out in order for the document to be saved.
  • Description - Will be displayed under the Text box and normaly contails information about what should be imputed into the field.

Text Area

Text Area is a multi-line text box that can expand.

Editor options

  • Label Text- Controls what is displayed above the input box.
  • Label Alignment - Controls where the text is displayed inside the element
  • Placeholder Text - Controls what text will be displayed inside the Text box.

  • Description - Will be displayed under the Text box and normaly contails information about what should be imputed into the field.

Files Upload

Files upload is a file attachment option.

  • Label Text- Controls what is displayed above the input box.
  • Label Alignment - Controls where the text is displayed inside the element
  • Required? - The required check mark box controls if this field must be filled in order for the document to be saved.

  • Description - Will be displayed under the Text box and normally contains information about what should be imputed into the field.

Linked Item

  • Label Text- Controls what is displayed above the input box.
  • Label Alignment - Controls where the text is displayed inside the element
  • Required? - The required check mark box controls if this field must be filled in order for the document to be saved.

  • Description - Will be displayed under the Text box and normally contains information about what should be imputed into the field.

  • Asset Type - controls what assets will be displayed for linking.

Select Box

Select box creates a custom multi option dropdown box.

Editor options

  • Label Text- Controls what is displayed above the imput box.
  • Label Alignment - Controls where the text is displayed inside the element.
  • Multiple Select Field - Controls how many options users are allowed to select.
  • Required? - The required check mark box will control if this field must be filled out in order for the document to be saved.
  • Description - Will be displayed under the Text box and normally contails information about what should be imputed into the field.

Radio

Radio creates a custom option dropdown box.

Editor options

  • Inline? - Contols if the options are displayed horizontally or vertically.
  • Description - Will be displayed under the Text box and normaly contails information about what should be imputed into the field.

Check Box

Check box creates a custom option dropdown box.

  • Element Alignment - Controls where the options are placed inside the element.
  • Inline? - Contols if the options are displayed horizontally or vertically.

Header

Header creates a title.

Editor options

  • Text - Controls what the title header is.
  • Font Size - Controls the size of the font.

Divider Line

Divider line creates a line.

 

Editor options

Divider Line - Controls the width of the divided line.

Once an element has been selected the editor tools will open up, From here you can adjust the text and alignment and other options based on the option selected.

When you have finished creating your template select Save.

Template Options

Under actions you have the following options:

Edit Template

Changes made to an existing template will not affect documents that have already been created.

To Access Templates the user must have the correct permission levels for more information on Permission levels click here.

From the Edit screen, you can remove sections change what is displayed or add new section.

You can drag and drop elements in a row to reorder your template.

When you have made the changes you wish you can select the template type and Icon and Save.

Clone Template

Clone Template will create a copy of an existing template.
